Project Title: Subscription Management for a magazine publishing house
Introduction:
The purpose of this document is to create the subscription and Generate the Billing and Manage the Sales Force and Dealers. The name that is given to the system is Subscription Management for a Magazine Publishing House requirements are specified in this document, including the add/edit/delete the Subscriber as well as Bulk Subscriber and Renewal Subscription and Generate Payment Reminders for the subscription.
Document Conventions:
Subscriber : One who Subscribes the Magazines individually.
Bulk Subscriber : One who Subscribes the Magazines in Bulk Manner.
Sales Executive : One who is an Employee of the Organization and Improves the Sales of the Company Magazines.
Dealer : One who is not an employee of the organization and buy the Magazines from the organization and sell the Magazines Outside World.
Project Scope:
This software is built using the requirements of the Publishing people and which is used for internal purpose. The benefits of this system is mainly for the Internal users described below.
(1)Create the Products and Tariffs related to different magazine. This includes the Magazine Name,Cost,etc..
(2) Manage Subscribers as well as Bulk Subscribers
Adding/Editing/Deleting the Subscriber/Bulk Subscriber
(3) Manage the Subscription
(a) Creating a Subscription for a Registered Subscriber / Bulk Subscriber
(b) Provide the Renewal of Subscription for the Subscriber / Bulk Subscriber
Cancellation of subscription will prompt to choose another plan. There will be no refund of the remaining money for cancellation of subscription.
(4) Capturing the Payment details for different modes of payment. Different payment modes are Cash, Cheque, Credit Card
(5) After the bill payment for a subscription, if the subscriber wanted to change the plan or language and adjustment of the money remaining in the subscription to the new plan.
(6) Manage the Sales Executives
This includes Track activities of Sales executives and Calculate the Incentives for Sales Executives
(7) Capture dealer indent (Number of copies a dealer requires for the issue) and Calculate Commissions for Dealers
(8) Provide Queries/Reports
(a) Generate payment remainders for the subscriptions which are coming to an end. Pending payments from dealers.
(b) Based on the information from subscribers, Bulk Subscribers, Dealers and Sales Executives , the count for number of copies to be printed is calculated
Query on monthly sales based on volume and amount(excluding returned magazines)
Overall Description:
Existing System
Existing System has many problems like it is manual processing and there is no software to run the program and Calculations are done using Excel sheet and much time to find out the history of Sales Executives and still there are doing clerical work for maintaining the database.
Current System
Present System provides much efficiency and reliability to the user. Using this software we can easily trace the daily activities of Sales Executives as well as the history of the sales executives. Some other features like accepting credit card and cheque for payment and generate payment remainders. We can change the plan of the subscription and also cancel the subscription(Choosing another plan) and find out dealer's indent and commission for the dealer.
